Version and status of an EP3 Deliverable

What are the rules for managing versions and status. These rules are applicable to Project deliverables.

 

Deliverable status lifecycle

 
The possible status are summarised in the figure hereafter.

Status

  The following table provides defintion of each status.

Status
Description
Draft (working)
The document owner and the contributors  are working on the document. The use of the document is generally restricted to the related task.
Draft The document has been reviewed and agreed at the task level.
Draft (under review)
The document owner has requested a quality check : the QCO is working on the document. 
 Draft (under approval)
The QCO considers the document as acceptable from the quality viewpoint. The technical control is currently under progress 
Approved The EP3 Consortium considers that the document respect the acceptance criteria.
 Under acceptance
The PCO has requested the EC acceptance 
Accepted The document is accepted by the European Commission 
Public Approved or accepted document could be published. a public document is available for consultation.

 

Version of document

 
The version of a document is managed according to the following rules:

  • there is a minor change of the version when a document is uploaded in the library.
  • there is a major change of the version when a document is approved

 It is to be noticed that the EP3 library manages the version automatically.

 

Rules for documents related to a meeting

 
These documents have two possible status that are "draft" and "approved". The EP3 library manages these documents too.

 

 Confidentiality and dissemination of EP3 documents

 
By default, each document created within the project is copyright Episode 3 Consortium and is considered as confidential among the participants. Corresponding legal mentions are included in the document templates and should not be removed.

According to contractual requirements and the global objective of the project, all deliverables have a dissemination level. This dissemination level is stated in the document and is included in the template.

The dissemination level can be defined for each document using one of the following codes:

  • Public: the document may be included in the Episode 3 public library, they have “unlimited” circulation.
  • Internal use: the document is restricted to a group specified by the owner.
  • Confidential: the document is limited to the owner and contributors.
